Shop management system

Run your shop, from the till to the ledger.

One app for selling, stock, staff, customers, costs and profit. Everyone sees what their job needs and nothing more, and the receipt prints itself the moment the sale is done.

The problem

Most shops run on memory.

Every one of these questions has a real answer. Right now it lives in somebody's head.

“How much did we take today?”

Nobody is sure until the money is counted. Sometimes not even then.

“Do we still have any?”

You find out when a customer asks and the shelf is already empty.

“Where did the stock go?”

No record of who took what, or why the count came up short.

“Did we make money this month?”

Sales felt busy. But after the rent and the wages, nobody knows.

“Who sold what?”

One person's takings cannot be told apart from another's.

“Is the drawer right?”

Cash goes missing in small amounts and nobody ever notices.

The answer

Everything your shop runs on, in one app.

Eight jobs the shop needs doing every day. All of them handled in the same place.

Sell

Point of sale

A till your staff can learn in five minutes. It never lets them sell what is not on the shelf.

Scan

Barcodes

Use a reader at the counter or the camera on your phone. Or just type it. All three work.

Track

Inventory

Every product, price, cost and stock level. You get warned before anything runs out.

Serve

Customers

A customer book with loyalty points, and a ranking of the people who spend the most.

Spend

Expenses

Rent, wages, transport, power, repairs. Record what the shop actually costs to run.

Profit

Profit and loss

What you really made, after the stock and after every bill. A number, not a feeling.

Control

Staff and roles

Decide who sees the money. Add someone in a minute, block them in a second.

Close

Daily cash up

The exact amount of cash that should be sitting in the drawer at the end of the day.

A look inside

Ten screens. That is the whole app.

No training course. No manual. If you can use a phone, you can use this.

Point of sale

Serve customers in seconds, not minutes.

Scan a barcode or tap a product. Either way it lands in the basket. Shorter queues, correct prices, and a stock count that stays honest.

  • The app refuses to sell what is not on the shelf, and stock drops the moment the sale goes through.
  • Cash, card, mobile money, bank transfer and other: five ways to get paid, each counted separately.
  • Only owners and managers can give a discount. Sales people never see the button.
  • The receipt prints itself the moment the sale is done. No printer connected? The sale simply completes as normal.
  • Attach the sale to a customer, or leave it as a walk in.

Barcode scanning

Scan it, type it, or ignore barcodes entirely.

Whatever your shop already has, it works. There is nothing new to buy.

On a laptop or desktop

Plug in any barcode reader

The app treats a reader like fast typing, so there is no driver and no setup. Any USB or Bluetooth reader will do, and the scanned code lands in the right field on its own.

CEM-050-8842

Cement 50kg · added   qty 1 → 2

On a phone or tablet

The camera is the scanner

No hardware to buy. Tap Scan, point the camera, and it reads the code. Offered only on phones and tablets, so a laptop never shows a button it cannot use.

Works while selling and while stock taking. Scan one item after another and the basket just keeps filling.

No scanner at all

Everything still works

Barcodes are optional. Type the code, or leave it empty and search by name exactly as before. Nothing is forced on you.

Two products may share a name. No two share a code, which is the whole point of using one.

Inventory

Never run out, never lose stock quietly.

Stock stops disappearing quietly, because every unit is on the record.

  • Every product with its price, cost and stock level in one list, searchable and scannable.
  • Get warned before something runs out. Set a reorder point and the low stock list does the watching.
  • A dead stock view shows what has been sitting unsold for months and what it is costing you.
  • Log deliveries, damage and counts. Every movement records who did it, when and why, and a short count is flagged on its own.
  • Stock valuation at cost and at retail, so you know what the shelves are actually worth.
  • Download the whole list to Excel whenever you want.
Closing the day, closing the month

The drawer balances before you go home.

Counting the drawer becomes a two minute job instead of an argument, and at the end of the month there is a profit figure that counts the rent and the wages, not just the sales.

Daily close

The exact amount of cash that should be in the drawer, with card, mobile money and transfers counted separately, and broken down by each person who served customers that day.

Check any past day at any time.

Expenses

Set up your own headings: rent, wages, transport, power, whatever you pay for. Then record a cost against the day it belongs to, not the day you got round to typing it.

A wrong entry is struck out, never deleted

25 Jul  Rent800.00
14 Jul  Rent 800.00
Voided by Ama, 29 Jul. Reason: entered twice by mistake. It stays on the record, marked as not counting towards any total.

Every entry shows who recorded it and when, and the lot downloads as a spreadsheet.

Profit and loss

The number most shop owners have never actually seen. Every step is shown, so the total can be checked.

Net sales19,946.00
Less cost of goods−12,565.76
Gross profit7,380.24
Less expenses−2,940.50
Net profit4,439.74

Gross profit said GHS 7,380. The truth was GHS 4,439. Now you know which.

Sales history

Every sale you have ever taken, in one searchable list. Filter to today, this week, this month or any dates you choose. Open any sale as a printable receipt with the shop name, line items, totals, payment method and who sold it, or save it as a PDF. No more arguing about what was sold, when, and to whom.

Reports

Revenue, costs and profit for any period you pick, with this month set against the last one. Payment mix, category performance, top sellers and staff takings, so you can see which products, categories and people actually make you money. One click sends the whole thing to Excel for your accountant.

Peace of mind

Everyone sees only what their job needs.

You choose the role. The app does the rest. This is not a setting people can talk their way around. Your staff can serve customers all day without ever seeing what the shop earns.

You

Owner

  • Sees everything, including cost, profit and margins
  • The only person who can open the full business report
  • Hires managers and other owners
  • Sets the prices nobody else can change

Runs the floor

Manager

  • Handles products, stock and the customer book
  • Records what the shop spends to keep running
  • Sees revenue, true profit and the daily cash figure
  • Adds and manages sales people

Serves customers

Sales person

  • Works the till and the customer book
  • Cannot give a discount or change a price
  • No stock control, no sales history
  • Never sees revenue or profit at all
Built so nothing goes missing

Six rules the app enforces for you.

Nobody has to remember to be careful.

Nothing is ever deleted

Products and customers get archived, not destroyed. The history stays and you can bring anything back.

The till cannot oversell

Selling more than the shelf holds is simply refused, and stock drops the moment a sale goes through.

Money stays private

Sales people never see revenue, profit or what anything cost you. They serve customers and nothing else.

Prices cannot be quietly cut

Discounts are hidden from sales people. Customers pay the price you set.

Every stock change is signed

Deliveries, damage and counts all record who did it, when and why. A short count is flagged on its own.

A wrong entry is struck out

Cancelling an expense needs a reason, and the entry stays on the record marked as not counting. Your books hold up.

No fuss

It fits the way you already work.

Works on the phone at the counter

The same app, laid out for a small screen, and the phone camera becomes the barcode scanner.

Nothing to install

It opens in a browser. You can also add it to a phone home screen and open it like any other app.

Several people at once

You on a laptop and two sales people on phones, all looking at the same stock and the same takings.

Everything comes out in Excel

Stock, sales, the daily cash up, your expenses and the profit and loss sheet all download in one click.

Receipts print themselves

Finish a sale and the receipt comes out. No printer connected? The sale simply completes as normal.

Your own currency

Set it once when your shop is created and every figure in the app follows it, with no jargon anywhere.

Stop guessing. Start knowing.

Sell faster at the till. Keep the stock honest. See what each person sold. Finish the day with a cash figure you can count against, and finish the month with a profit figure that counts the rent and the wages.

  • Faster queues: scan, take payment, done
  • No silent losses: every unit accounted for
  • Your true profit, after stock and after bills
  • Books that hold up: signed, dated, exportable
  • Calm at closing time: the drawer balances first time
  • A team you can trust, because they only see their part
